1: Types of Data Collected

The types of personal information collected by the Malaysian Youth Delegation (henceforth referred to as “MYD”) broadly fall within the ambit of the following categories:

  • Personal Data, data that can be used to identify User as an individual, which includes the following:
  • personal information such as the age, ethnicity and postcode of the user;
  • the user’s contact information, such as email address.

(This is strictly to facilitate the process of demographic assortment of our users for better understanding of the collective view.)

  • Anonymous Data, data that cannot be used to identify a user as an individual, or is not part of the user’s personal information. Anonymous Data may be collected to assess the user's satisfaction level with the website - especially in terms of its accessibility, understandability, etc.

Data will be collected with the use of Netlify, SurveySparrow and, from 13 February 2021 to 15 March 2021 (henceforth referred to as the “survey period”).

2: Collection of Personal Information

Generally, MYD collects personal information in the following ways:
  • when you contact the survey’s organising committee (and/or any of its related entities);
  • when you submit queries or requests to the organising committee, directly or indirectly;
  • when you submit forms or applications to the organising committee via the survey or contact form as provided in the website;
  • when you submit complaints;
  • when you provide feedback for further improvement of the survey; and
  • when you submit your personal information to MYD, for any other reasons.

If and when you provide MYD (and/or any of its related entities) with any personal information relating to a third party (including but not limited to that of a dependent and/or spouse), by submitting such information to us, you warrant and represent to MYD that you have obtained the consent of that third party, to you providing MYD with their personal information, for the respective purposes.

By providing personal information to MYD (and/or any of its related entities), you confirm that the information is complete and accurate, to the best of your belief and knowledge.

Failure to abide by the said requirement, may result in MYD’s inability to fulfil your requests and/or applications.

3: Purposes for Collection, Use and Disclosure of Personal Information

In general, MYD collects, uses, and discloses your personal information for the following purposes:

  • To verify your identity;
  • To communicate with you;
  • To respond to your requests and queries;
  • To comply with any applicable laws, rules, regulations, and guidelines (which may be issued by the concerned authorities);
  • For record-keeping purposes (where there are legal and/or business reasons for retaining the said records);
  • For legal purposes (including but not limited to the obtaining of legal advice; to facilitate dispute resolution; and to investigate suspected unlawful activities including intellectual property infringement); and/or
  • For purposes which are reasonably related to the aforesaid.

By the end of the Survey Period, within the stipulated retention period below, we may create an Anonymous Data directory, in which data identifiable to a particular user will be removed, for the purpose of survey analysis and assessment. This is for the analysis of Malaysian youth opinions on matters of the water sector and climate change in Malaysia.

We reserve the right to use Anonymous Data for any purpose and disclose Anonymous Data to third parties in our sole discretion.

4: Disclosure of Personal Information

We have identified the nature of personal information which may be collected, in the preceding paragraphs, as well as the specific purposes for the collection, use and/or disclosure of the personal information. To the extent feasible and practicable, unless disclosure is completely necessary, your personal information held by us shall be kept confidential.

Some of the specific scenarios when disclosure of your data might be deemed necessary by the organising committee are including, but not limited to, if the project funder requests for this information.

For the purposes listed in the preceding paragraphs (where applicable), your personal information may be disclosed to the following:

  • The MYD's related entities, such as its funder for this project;
  • Appropriate government authorities, statutory boards and law enforcement authorities, to comply with the applicable laws, rules and regulations; and/or
  • Any other party to whom you authorise us to disclose your personal information.

To the extent feasible and practicable, MYD shall endeavour to ensure that its organising committee who are involved in the collection, use and disclosure of any personal information, will adhere to the stipulations contained in this Policy.

5: Retention of Personal Information

MYD will retain the personal information collected, for a period of 1 year after the survey period to fulfil the purpose for which it was collected, as per mentioned previously.

Data will be stored in MYD’s cloud storage and software as a service (SaaS) accounts (i.e. SaaS which is in use for the survey website), with access exclusive to the organising committee and its volunteers for the said period, and utilised by the organising committee and its volunteers for the purpose of the analysis of Malaysian youth opinions on matters of the water sector and climate change in Malaysia.

When destroying personal information, MYD will take commercially reasonable and technically feasible and practicable measures to make the personal information irrecoverable or irreproducible, as may be required by applicable law.

6: Security Safeguard of Personal Information

MYD takes the security and protection of your personal information seriously. As such, MYD has put in place appropriate reasonable security arrangements to protect your personal information against loss or theft, as well as against unauthorised access and undue disclosure, by providing limited first-hand access to your personal information as provided to us, strictly for the relevant organising committee, by the retention methods stated above (refer Section 5) .

Unfortunately, there is always a potential risk in sending information through any channel (more so through the internet) and/or retaining information on any storage device, and MYD cannot guarantee that communications between you and MYD (and/or its related entities) or information stored on our resources, including personal information, will be free from unauthorized access by third parties.

To the extent permitted by applicable law, MYD (and its related entities as stated above in Section 4) will not be held responsible for when Users do not take reasonable measures to ensure the continued confidentiality and accuracy of the personal information, and to the extent permitted by applicable law, MYD will not be liable for any consequential misuse.

7: Third-party services

Where the website relies on third-party services, MYD tries to direct users toward their respective privacy policies. The third-party services used are as follows:

  • Google Recaptcha:
  • We use Google Recaptcha to safeguard the survey against bots. Therefore, you are accepting their privacy policy when signing up for and logging into the survey.
  • Please refer to Google’s privacy policy for more information.
  • Netlify:
  • We use Netlify’s services for website hosting. Therefore, you are accepting their privacy policy when signing up for and logging into the survey.
  • We do not collect an e-mail upon signup in the interest of anonymity. As is typically advised, you should not use a username and password that you have already used for another personal account.
  • Please refer to Netlify’s privacy policy for more information.
  • Amazon Web Services (AWS):
  • We use AWS Cognito for the survey login process. Therefore, you are accepting their privacy policy when signing up for and logging into the survey.
  • Please refer to AWS’ privacy policy for more information.
  • SurveySparrow:
  • We use SurveySparrow for the questionnaire section of the survey through embedding it on our website. Therefore, you are accepting their privacy policy when interacting with the questionnaire.
  • Please refer to SurveySparrow’s privacy policy for more information.
  • We use the survey tool for the open discussion section of the survey through embedding it on our website. Therefore, you are accepting their privacy policy when interacting with this instance of their tool (the “ Conversation”).
  • You can choose to provide with your email address when subscribing to updates of our Conversation. This email will be accessible only to, and MYD will not have access to it.

8: Updates on Policy

MYD may from time to time update the terms of this Policy to ensure compliance with any future developments, industry trends and/or any changes in the legal and/or regulatory requirements. Subject to your rights at law, you agree to be bound by the prevailing terms of the Policy, updated from time to time.
