The types of personal information collected by the Malaysian Youth Delegation (henceforth referred to as “MYD”) broadly fall within the ambit of the following categories:

Data will be collected with the use of Netlify, SurveySparrow and Pol.is, from 13 February 2021 to 15 March 2021 (henceforth referred to as the “survey period”).
If and when you provide MYD (and/or any of its related entities) with any personal information relating to a third party (including but not limited to that of a dependent and/or spouse), by submitting such information to us, you warrant and represent to MYD that you have obtained the consent of that third party, to you providing MYD with their personal information, for the respective purposes.
By providing personal information to MYD (and/or any of its related entities), you confirm that the information is complete and accurate, to the best of your belief and knowledge.
Failure to abide by the said requirement, may result in MYD’s inability to fulfil your requests and/or applications.
In general, MYD collects, uses, and discloses your personal information for the following purposes:
By the end of the Survey Period, within the stipulated retention period below, we may create an Anonymous Data directory, in which data identifiable to a particular user will be removed, for the purpose of survey analysis and assessment. This is for the analysis of Malaysian youth opinions on matters of the water sector and climate change in Malaysia.
We reserve the right to use Anonymous Data for any purpose and disclose Anonymous Data to third parties in our sole discretion.
We have identified the nature of personal information which may be collected, in the preceding paragraphs, as well as the specific purposes for the collection, use and/or disclosure of the personal information. To the extent feasible and practicable, unless disclosure is completely necessary, your personal information held by us shall be kept confidential.
Some of the specific scenarios when disclosure of your data might be deemed necessary by the organising committee are including, but not limited to, if the project funder requests for this information.

To the extent feasible and practicable, MYD shall endeavour to ensure that its organising committee who are involved in the collection, use and disclosure of any personal information, will adhere to the stipulations contained in this Policy.
MYD will retain the personal information collected, for a period of 1 year after the survey period to fulfil the purpose for which it was collected, as per mentioned previously.
Data will be stored in MYD’s cloud storage and software as a service (SaaS) accounts (i.e. SaaS which is in use for the survey website), with access exclusive to the organising committee and its volunteers for the said period, and utilised by the organising committee and its volunteers for the purpose of the analysis of Malaysian youth opinions on matters of the water sector and climate change in Malaysia.
When destroying personal information, MYD will take commercially reasonable and technically feasible and practicable measures to make the personal information irrecoverable or irreproducible, as may be required by applicable law.
MYD takes the security and protection of your personal information seriously. As such, MYD has put in place appropriate reasonable security arrangements to protect your personal information against loss or theft, as well as against unauthorised access and undue disclosure, by providing limited first-hand access to your personal information as provided to us, strictly for the relevant organising committee, by the retention methods stated above (refer Section 5) .
Unfortunately, there is always a potential risk in sending information through any channel (more so through the internet) and/or retaining information on any storage device, and MYD cannot guarantee that communications between you and MYD (and/or its related entities) or information stored on our resources, including personal information, will be free from unauthorized access by third parties.
To the extent permitted by applicable law, MYD (and its related entities as stated above in Section 4) will not be held responsible for when Users do not take reasonable measures to ensure the continued confidentiality and accuracy of the personal information, and to the extent permitted by applicable law, MYD will not be liable for any consequential misuse.
